Ad board meeting review.

  • DN – How do you think ad board meeting went?

    • JW – I think it went well. CBy gave us permission to take risks and fail.

    • DN – This will become part of my job from now on. I’ll start collecting content through the month so we can be prepared for the enxt next one.

Things to work on today?

  • Governing board notes for katharina --> How to secure expose from Confluence?

    • JW – Every document we own on Google or Confluence is either public or private to OpenFF. There is no “in-between”.

      • Previous governing board notes are COMPLETELY PUBLIC! Even for editing! Yikes!

        • JW reduced previous governing board google doc notes to be only publicly VISIBLE (not linking here because meeting notes are public and gov board notes are private)

      • JW – I don’t think confluence is suitable for governing board notes if Katharina and Thomas are required to have access. So I think we should do the following:

        • Copy this morning’s meeting notes to the previously existing google doc

        • Delete the confluence doc with this morning’s meeting notes, or put a giant header saying that they’ve been copied and that this is no longer the authoritative document.

        • Change the /wiki/spaces/MEET/pages/2241462369 to say “Because of permissions/access issues, we don’t take governing board notes here. Take them on this google doc instead”, and remove the “create notes” button and the “meeting notes list” widget.

      • DN will talk to Karmen about the above plan, and do it if she agrees.

      • DN will contact Katharina once this has been resolved to tell her that the meeting notes are available

  • Make more WBSes?

    • We will meet tomorow at 9 AM Pacific to lay out more of the project in WBS form.

  • How to better handle engagement? How many hours per week should I be doing project management? Should you set an "hours/week" target for me for different things?

    • JW – For example, DDotson was somewhat resistant to using Jira. I don’t know much about it or have strong feelings, I just want to make sure that I have time for my work.

    • DN – It becomes exhausting to talk to everyone to stay up to date on what’s going on. So on Jira we can assign tasks to people and set deadlines, and things are organized by default.

    • JW – I’m going to plan to give you control over 4 hours per week of my time. I can spend doing anything you think is important, but it doesn’t “bank” between weeks.

    • DN – Ok, that sounds good.

  • Should RGowers and I “sell” our time to each other to coordinate projects? No money would need to change hands

    • DN – I understand what you’re saying, but that should be the last resort. Each project should have the understanding that collaboration is in their interest and should choose to pursue it. I currently have a better understanding of the operations of OpenFF than OpenFE, but I’d like to reach a state where I have an understanding of both projects and they see the benefits of collaboration.

    • JW – That sounds good. I’d like to make sure that you have and exercise authority to enforce collaboration.
